Why We Built a Training Academy Inside the Certification Platform

The Standalone LMS Problem

Certification bodies have training obligations that are not optional. Auditors need onboarding. Staff need procedure training. Committee members need periodic refreshers. When a CB reaches even modest size, informal training stops working and someone starts evaluating learning management systems.

The typical path leads to a standalone LMS like Vedubox, Docebo, or TalentLMS. These tools work well enough for corporate training departments, but they create specific problems for certification bodies:

  • Per-seat pricing with caps. Most LMS platforms charge per active user per month. When your auditor pool includes 30 contracted auditors who each need to complete one training module per quarter, you are paying for 30 seats to deliver a few hours of content. The math does not work for organizations with large but intermittently active user bases.
  • Separate logins and identity management. Your auditors already have credentials for the CB platform. Adding a separate LMS means a separate login, a separate password, and a separate user profile. When an auditor leaves, you have to deactivate them in two systems. When someone forgets their LMS password, your admin team becomes a help desk.
  • No connection to operational data. The LMS does not know which auditors have upcoming witness deadlines. It does not know which staff members were assigned a new scope category. Training exists in isolation from the operational context that should drive it.
  • Another invoice, another vendor. The LMS adds a line item to your budget and a vendor relationship to manage. Contract renewals, feature changes, price increases, and support tickets all create administrative overhead.

Course Creation and Content Delivery

Training managers create courses directly within Certiva. Each course can contain multiple content types:

  • PDF documents uploaded and presented through a controlled document viewer.
  • Video content embedded within the course structure.
  • Multiple-choice examinations with configurable question pools.

Courses are assigned to individuals or groups. Completion status is tracked automatically and visible on the user's profile alongside their qualifications, scope coverage, and audit history.

The Controlled Document Viewer

This is where Certiva's training academy diverges from generic LMS tools. When a course includes a PDF document, the learner must view it through a controlled viewer that tracks which pages they have read. The system records page-by-page progress and blocks course completion until every page has been viewed.

This matters because accreditation bodies increasingly ask for evidence that training was not just assigned but actually completed. A checkbox that says "I read the document" is not evidence. A timestamped record showing that every page was viewed is.

Consider "Meridian Certifications," a CB that needed to roll out updated procedures to 45 auditors after revising their Stage 2 reporting format. With a generic LMS, they would upload the PDF and check a completion box. With Certiva, they assigned the updated procedure document as a training course. The system recorded that each auditor viewed every page. When the accreditation body asked for evidence of procedure communication during the next office assessment, Meridian pulled the training completion records directly from Certiva.

Server-Authoritative Timed Exams

When a course requires an examination, Certiva provides timed multiple-choice exams with a critical architectural choice: the timer runs on the server, not in the browser.

Why does this matter? Browser-based timers can be beaten. Refreshing the page, closing and reopening the tab, or simply manipulating browser developer tools can reset or pause a client-side timer. This turns a timed exam into an untimed one, undermining the entire point of time-limited assessment.

Certiva's exam timer starts on the server when the learner begins. If they close the browser, the timer keeps running. If they refresh the page, the remaining time reflects what the server has tracked, not what the browser remembers. When time expires, the exam auto-submits with whatever answers have been recorded. There is no way to beat the clock by manipulating the client.

Training managers configure the passing grade for each exam. If a learner scores below the threshold, they can retake the exam, but the timer resets from the server on each attempt. All attempts are recorded.

Unlimited Users, No Seat Limits

Certiva's training academy does not charge per seat. Every user in the system, whether they are a full-time planner, a contracted auditor, or a committee member, can access assigned training at no additional cost. This removes the financial friction that causes CBs to limit training access or delay onboarding.

A CB like "Northbridge Quality Services" with 12 staff members and 60 contracted auditors would face significant per-seat costs with a standalone LMS. With Certiva, all 72 users access training as part of the platform they already use for everything else.

This integration also means training can be driven by operational events. When a new procedure is published, it can be assigned as a required training module. When an auditor is approved for a new EA code, the corresponding training can be triggered. The operational platform knows what training is needed, and the training academy delivers it.
